Natural Habitat Adventures (Nat Hab), a leader in sustainable adventure travel, is seeking a highly organized and detail-oriented Trade Relations Coordinator to support the Trade Relations Manager and Travel Industry Relations Director. This role will contribute to the success of our industry partnerships and business development efforts. This critical support role ensures the smooth execution of administrative tasks, partner communications, and project coordination, allowing the Trade Relations team to focus on strategic initiatives that drive growth and brand visibility.

 

This position is ideal for an individual who thrives in a fast-paced, mission-driven environment and is eager to be a key contributor to Nat Hab’s efforts to connect people with nature through transformative travel experiences. The role offers hybrid work for local hires or fully remote opportunities in approved states (AK, FL, OR, WA, NY, UT, GA, VA, NC & TX).

 

RESPONSIBILITIES

Administrative Support and Coordination

  • Provide high-level administrative support to the Trade Relations Manager, including calendar management, scheduling meetings, and coordinating travel arrangements.
  • Manage and organize internal documents, reports, and presentations to ensure efficient workflows.
  • Assist with expense tracking, budget monitoring, and financial reporting for the Trade Relations team.
  • Maintain organized records of contracts, agreements, and partnership documentation.

Industry Partner Communications

  • Serve as a primary point of contact for general inquiries from travel consultants, industry partners, and internal teams.
  • Draft and manage correspondence, follow-ups, and partner-related documentation.
  • Coordinate and track partner agreements, ensuring timely execution and renewals.
  • Assist in the preparation of presentations, proposals, and partnership reports.

Event & Trade Show Coordination

  • Support the planning, logistics, and execution of trade shows, industry events, and partner meetings.
  • Organize event materials, schedules, and itineraries to ensure seamless participation.
  • Assist with post-event follow-ups, data entry, and reporting to evaluate engagement and effectiveness.

Marketing & Promotional Assistance

  • Collaborate with the marketing team to help execute co-branded campaigns and promotional initiatives with industry partners.
  • Assist in maintaining partner marketing materials and digital content.
  • Support the coordination of social media partnerships, email campaigns, and promotional opportunities.

Data Management & Reporting

  • Track and maintain databases of industry contacts, partners, and event participation.
  • Compile and organize market research, competitive intelligence, and trend analysis to support strategic decision-making.
  • Prepare reports and insights for leadership on partnership performance, engagement metrics, and market trends.

Process Improvement & Efficiency

  • Identify opportunities to streamline administrative processes and improve efficiency within the Trade Relations team.
  • Implement best practices for document management, communications, and workflow optimization.
  • Ensure that all trade relations efforts align with Nat Hab’s mission, values, and ethical standards.

 

SKILLS AND QUALIFICATIONS

  • Highly organized and detail-oriented with exceptional time management skills.
  • Strong communicator with excellent written and verbal skills.
  • Proficient in Microsoft Office Suite, Google Workspace, and CRM tools.
  • Proactive problem-solver with the ability to work independently and as part of a team.
  • Passionate about adventure travel, conservation, and sustainable tourism.
  • Adaptable and able to multitask in a fast-paced, dynamic environment.

 

COMPENSATION

Salary Range: $20- $24 per hour. Compensation commensurate with experience. (Per Colorado’s Equal Pay for Equal Work Act, employers must include compensation ranges in job postings). This is a full-time, exempt position.

WORKING HOURS

Working and being fully available 8 am–5 pm MT Monday–Friday.

Additional hours may be necessary to achieve your goals and complete your work.

 

LOCATION AND TRAVEL

This position offers the option of working remotely or in the Louisville, Colorado office.

  • For Local Candidates (within a one-hour drive of our Louisville, CO office): Attendance in the office is required at least two days per week.
  • For Remote Candidates: You will need to travel to Colorado at least twice a year for in-person meetings, company events, and job-specific tasks.
