GENERAL SUMMARY:  Under the direction of the Chief Financial Officer, the Payroll and Accounts Payable Specialist is responsible for maintaining professional standards of financial management and accountability.

PRINCIPAL DUTIES AND RESPONSIBILITIES


 



  1. Responsible for updating and maintaining accounting records, including those that tabulate expenditures, receipts, accounts payable and receivables and profit and loss.

  2. Responsible for posting entries into general ledger.

  3. Responsible for timely and accurate reporting and record keeping of payroll.

  4. In conjunction with Accountant, handle all financial transactions.

  5. Prepare bank deposits, verify and balance receipts and send cash, checks or other forms of payment to the bank.

  6. Total, balance and reconcile billing vouchers, ensure completeness and accuracy of data on accounts and code documents according to company procedures.

  7. Review invoices and statements to ensure that all information is accurate and complete, and reconcile computer reports with operating reports.

  8. Assure bills are paid without accruing interest and resolve any issues with vendors regarding billing.

  9. Correct or note errors for accountant.

  10. Update account codes for purchase orders.

  11. May perform other duties as assigned.


 


KNOWLEDGE, SKILLS AND ABILITIES REQUIRED


 



  1. Considerable knowledge of bookkeeping or accounting.

  2. Proficient with the use of computers and databases.

  3. Proficient with Excel spreadsheet and database management. Blackbaud a plus.

  4. Experienced with personal computers and Microsoft windows environment.

  5. Ability to operate office machinery such as personal computers, postage machines, copiers, etc.

  6. Accurate and detail-oriented, ability to prioritize and work independently.

  1. Physical mobility: sitting, standing, walking, lifting/carrying objects up to 30 pounds; manual dexterity to operate keyboard.

  2. Mental effort: reading, writing, analyzing.

  3. Ability to work under deadlines and stress.

  4. Ability to handle confidential material, exercise initiative and display sound judgment.


 


WORKING CONDITIONS


 



  1. Ability to provide own transportation to perform duties.

  2. May require evening and weekend work.

  3. Will have occasion to work in or pass through any area of the Conservatory or growing houses.


 


MINIMUM POSITION GUIDELINES (Education, Experience and Certification)


 



  1. Two year degree in bookkeeping or accounting.

  2. Two years’ relevant experience in office atmosphere.

  3. Licensed PA driver insurable by the Conservatory.
