HR Operations & Payroll Specialist

Summary

The HR Operations & Payroll Specialist will oversee and manage various administrative People & Culture (HR) tasks and responsibilities for our entities in Switzerland and Germany. This role encompasses P&C administration, payroll coordination, recruitment support and compliance. The ideal candidate will have a strong background in HR operations, has a hand-on mentality, excellent communication skills, and the ability to navigate complex environments effectively. The HR Operations & Payroll Specialist will report to the Senior Manager, People & Culture based in Switzerland and collaborate closely with the P&C team in Switzerland.

Payroll Management

  • Oversee the payroll process for 4 entities, 2 in Switzerland and 2 in Germany, ensuring accurate and timely payment to employees.
  • Maintain payroll records and ensure compliance with relevant local laws and regulations.
  • Collaborate with the finance department and payroll provider to reconcile payroll accounts and resolve discrepancies.

P&C Administration

  • Support the recruitment process, including coordination of the interview process and communication with applicants and candidates.
  • Manage all HR-related documentation, including job offers, employee contracts, benefits enrollment, leave and absence tracking, accident and illness reports, as well as keeping personnel files up to date.
  • Update and maintain HRIS databases and employee records (Workday).
  • Respond to employee inquiries regarding policies, benefits, and procedures.

P&C Compliance

  • Stay informed about relevant employment laws and regulations to ensure compliance.
  • Assist with audits and compliance reviews as needed.
  • Recommend and implement changes to HR policies and procedures to maintain compliance and improve efficiency.

Requirements

  • Minimum 3 years’ experience in a similar role.
  • Experience with payroll processes in Switzerland, related to social security and insurances.
  • Very good administrative, organizational, and social skills.
  • Service-oriented person with high attention to detail and a meticulous way of working.
  • Responsible, dedicated, and pro-active personality with ability to stay calm and keep the overview and patience also in hectic times.
  • Very good communication skills in German and English, French knowledge is a plus.
  • Profound IT user knowledge (MS Office, Outlook, and other used applications); experience with Workday is a plus.
