GENERAL DESCRIPTION: 


This position for the Wyoming State Forestry Division of the Office of State Lands and Investments is also known as the Fire Admin Support. This position provides technical expertise to many counties in regard to fire invoices and record administration software. This position plays an important role in filling the agency, county, and volunteer requests for service.

The Fire Admin Support allows the WSFD to be successful in the implementation of the Wyoming Forest Action Plan and is essential in supporting the Wyoming State Forestry Division's mission. It allows the Wyoming State Forestry Division to provide high-quality service to Wyoming's County and Volunteer Fire Departments.

ESSENTIAL FUNCTIONS:  The listed functions are illustrative only and are not intended to describe every function that may be performed at the job level.

 
  • Process large amounts of fire billings for payments in the FBS database (Gold Systems Inc).
  • Assist fire staff members with technical and administrative problems and procedures regarding interpretation of fire program operations.
  • Examine and audit fire billings from fire staff and fire departments and counties.
  • Provide direct admin support to fire management staff and leadership, such as responding to billing questions or requests electronically. 
  • Correspond via phone or email with other Agency personnel, County Fire Wardens, local fire chiefs, and volunteer firefighters regarding in and out-of-state fire invoices.
  • Compile and analyze fire invoice data for accuracy to ensure information on the fire document forms are legal and complies in accordance with NWCG and State of Wyoming rules, regulations, and statutes.
  • Performs routine and repetitive administrative support functions such as posting or recording information from a variety of sources that usually involve calculations, research, and verification of information.
  • Attend meetings, take notes, and transcribe minutes electronically. 
  • Coordinate meetings, arrange for setup, and represent the agency and WY counties and fire departments.
  • Coordinate website updates and social media accounts.
  • Prepares fire financial monthly reports, such as paid and unpaid invoices as appropriate and as needed. 
  • Assist with the coordination of Smokey Bear Fire Prevention events.
  • Participates in data entry Special Projects from the Fire Management Team. Serves as backup to the IQS Manager. 
  • Perform other job-related duties as assigned.  
                                                                                                                                                                                                                                             


Qualifications



PREFERENCES: 


Preference may be given to candidates with experience working with databases and software applications.
Preference may be given to candidates with strong technical and administrative backgrounds.
Preference may be given to candidates with knowledge of Wyoming Statute, Rules and Regulations.
Preference may be given to candidates with strong time management, great attention to detail, and organizational skills.


KNOWLEDGE: 

 

  • Knowledge of Google Applications and Microsoft Word, Excel, Adobe Acrobat, Google Forms, documents, and spreadsheets.
  • Ability to use, maintain, and troubleshoot office equipment (copier & scanner).
  • Knowledge of personal computers including software such as word processors, spreadsheets, and hardware, such as scanning and imaging systems.
  • Knowledge of concepts and current practices of government management including budgets, personnel, purchasing, and legislative and administrative processes.
  • Knowledge of statistical analysis and data compilation proficiencies.
 

MINIMUM QUALIFICATIONS:

 
Education:
Associate's Degree (typically in Records or Data Management)
  
Experience:
0-1 year of progressive work experience (typically in Records and Data Management) with acquired knowledge at the level of a Records & Data Management Technician
 
OR
 
Education & Experience Substitution:
2-4 years of progressive work experience (typically in Records and Data Management) with acquired knowledge at the level of a Records & Data Management Technician
