The Destination Group Services Coordinator serves as a liaison between destination groups and the resort by acting as a central point of contact for groups, lodging, food and beverage, special events and extra needs by performing the following duties.
ESSENTIAL DUTIES & RESPONSIBILITIES (include the following, other duties may be assigned)
- Position requires management and understanding of Group Sales contracts, on-campus room inventory, and the ability to represent the resort at various Sales tradeshows, functions and sales events.
- Responsible for all Destination Group needs including lodging, tickets, meals, rentals, lessons, transportation, add-on products and services and up-selling additional resort activities and offerings.
- Works closely with group leaders to manage contracts and any changes, to confirm payment schedule, to coordinate events and service and confirm room assignments.
- Works closely with sales managers to review lodging availability and event room space.
- Builds and maintains group resume to distribute to internal stakeholders Impact List.
- Participates in weekly Group Impact meetings, addressing issues and concerns for stakeholder groups, relative to Destination Group market segment.
- Works daily in Maestro, including master title set-up, application of deposits and payments, room list, and adjustments to due count changes. Works in the Sales and Catering module to input all special events and food and beverage requirements, along with A/V needs and additional requests from groups.
- Group arrival packeting:
- Processing of overnight group ticket orders, including any rental and lesson vouchers required for the assigned groups
- Prepare Destination Group arrival packets, including confirmation of all required printed materials to be inserted into arrival packet. Includes, but not limited to: group registration cards, individual registration cards, weekly newsletters, labels, MAP vouchers, group roster, move up and eat up cards.
- Deliver packets and arrival material to the various check in locations.
- Processing of group leader gift bag requests with Provisions along with delivery of bags to various check in locations.
- Daily and weekly use of CRM tools.
- Work with Director of Sales to collect data on a monthly, end of season and fiscal year basis and facilitate end of season and end of year reporting for Destination Group business segment.
- Daily handling of cash, checks, credit cards and cash-out procedures.
- Coordinates Group related events, functions, meals, lessons, private tours, rooming assignments and transportation needs of groups, as needed per agreements.
- Coordinate all group destination contracts upon signing and receipt of initial deposit.
SPECIAL QUALIFICATIONS/REQUIREMENTS
- To perform this job successfully, an individual should have knowledge of Sales and Catering software; Internet software; Spreadsheet software and Word Processing software.
